From quote to accepted in three steps

  1. Step 1Build the quote

    Pick a customer, pull products and prices from your catalog, and set the Expiry date. VAT and totals are calculated as you type, in the client’s language and currency.

  2. Step 2Send it for approval

    Email a branded PDF with a link to approve online. Your client reviews it, signs it in the browser, and the Approval Status switches to Agreed the moment they do.

  3. Step 3Convert and get paid

    An agreed quote becomes an order confirmation, packing note, proforma or invoice in one click — carrying the same lines, prices and terms straight through to getting paid.

Can I create quotes for free?
Yes. The Free plan covers up to 3 documents a month — every document type counts, including quotes, invoices and credit notes — with no credit card required. A Pro license removes the limit and unlocks recurring invoices, the Margin tab, workflow status and Excel line import, and starts with a 14-day free trial.
How does online quote approval work?
Send with digital approval emails the quote with a link to an online copy of the document. Your client opens it, reads it, and signs it in the browser — giving their name, place and signature — and the Approval Status switches to Agreed straight away, so you know where you stand without chasing a signed copy back. Any finalized quote can also be shared with a Public document link.
Can I turn an accepted quote into an invoice?
Yes, in one click — and into an order confirmation, a packing note or a proforma invoice too. The new document carries the same customer, lines, prices, discounts and terms, so nothing is retyped and nothing drifts between what was agreed and what you bill. A Related row records which quote it came from.
What is the difference between a quote and a proforma invoice?
A quote is an offer — a price you are proposing before any work is agreed. A proforma invoice is a document you send once the work is agreed but before the real invoice, typically to request payment up front. Invoice Office handles both as separate document types.
Can I set how long a quote stays valid?
Yes. The quote carries an Expiry date, filled in from the document term you attach and adjustable per quote, so the client knows the price is not open-ended. Once it passes, the quote shows up under the Expired quote filter. Use the document texts to state your terms and conditions alongside it.
Can I see whether a quote is still open?
Every quote carries an Approval Status — Agreed, Partially agreed, Not agreed, Negotiation or Discussion. Approving online sets it to Agreed; you set any of the others yourself with Change quotation status on the Action menu. Quick filters for Open quote, Expired quote and Concept quotes give you the outstanding offers at a glance.
