As an administrator you can configure your own email server inside Invoice Office, so mail sent from the platform goes out through Google Workspace.
An App Password is what lets Invoice Office reach your Google Account. Online software that sends email on your behalf — invoices, quotes, packing notes — generally needs one, because your normal Google password will not work for this.
Step 1 — Enable 2-Step Verification
App passwords are only available once 2-Step Verification is on.
- Go to your Google Account.
- Click Security.
- Under Signing in to Google, click 2-Step Verification.
- Follow the on-screen instructions to set it up.
Step 2 — Generate an App Password
- Still on the Security page, under Signing in to Google, click App passwords. You may have to sign in again — or search for “app password” in the box at the top.
- Enter an App name, for example
invoiceoffice.com. - Click Create.
- A 16-character app password is generated. Copy it — you need it in the next step.
Step 3 — Configure the email server in Invoice Office
- Go to your Invoice Office account.
- Open Settings → Email server. It sits in the Email group, under E-mail sender.
- Switch Enabled on and set Mail server provider to Gmail / Google Workspace. That fills
in the server settings for you — Transport SMTP, Host
smtp.gmail.com, Port 465 and Encryption tls. - Enter your Google Workspace address as the Username, and the 16-character app password from step 2 as the Password.
- Click Test to check the connection, then Save.
Log out and log back in afterwards. The page says so itself: a new mail server configuration only takes effect on your next session.
From then on, your documents are sent through your own Google Workspace address.
Custom and Outlook / Office 365 are the other two providers in that list, if you are not on Google Workspace.
Important notes
- If the password does not work, remove the spaces between the characters of the code.
- Keep your app password secure. Treat it like any other password and do not share it.
- You normally enter it once. Once configured for an app or device, you should not need to enter it again.
- Lost it? Revoke it and generate a new one: go to the App passwords page in your Google Account and click Revoke next to the password you want to remove.
Verify your domain for Google Workspace
Before you can use Google Workspace services you need to verify your domain. This step stops anyone else using your business’s web address for services such as email. Google documents it in Verify domain ownership.
