The PDF file name is what your customer sees in their inbox and what ends up in their filing system. You set it once for the account, and every PDF is then named in that format.
Change the PDF name
- Go to Settings → Company settings.
- Stay on the Settings tab — Document name .pdf is the first field on it.
- Pick the format you want.
- Click Save in the top right.

The formats you can pick
Each format is built from the same four placeholders — the document type, its number, your company name and the customer’s name:
[Document][Company name] ([Number])[Document][Customer name] - [Company name] ([Number])[Document][Customer name] ([Number])[Document][Number][Document][Number], [Customer name][Number][Document][ ([Company name])
[Document] is the document title from the design — so renaming that to Fee note renames the file too, see Document title vs document name.
A document that has not been finalised yet gets (Concept) added to the end of the file name, so a draft never arrives looking like a final invoice.
Choosing a format
Pick the one your customers will file most easily. A format containing the document number is usually safest — it is the reference both sides use when they need to talk about the document — and adding your company name helps customers who deal with many suppliers.
The same name is used for the UBL file attached alongside the PDF, so it stays in step with whatever you choose here.
